Personal data we collect
- Contact inquiries: name, email address, telephone number, subject, and message.
- Job applications: name, email address, role applied for, and application message.
- Accounts: name, email address, password hash, profile details, and account status.
- Technical records: IP address, browser and device information, timestamps, security events, and essential cookie identifiers.
- Information you voluntarily include in messages sent to us.
Please do not send government identifiers, financial information, health information, or other sensitive personal information through our general contact form.
Why and how we use personal data
- Respond to inquiries and prepare requested proposals or services.
- Evaluate candidates and communicate about employment opportunities.
- Create, secure, support, and administer user accounts.
- Prevent abuse, investigate security events, and maintain website reliability.

We process data where necessary to respond to your request, take steps toward a contract, administer an account or employment process, comply with law, or pursue legitimate business and security interests. We ask for consent when consent is the appropriate legal basis and allow it to be withdrawn without affecting earlier lawful processing.
Who may receive personal data
Access is limited to authorized Hardhead Tech personnel and service providers that support hosting, database operations, transactional email, security, and website administration. Current website providers include Vercel, Neon, and Resend. We may also disclose information when legally required or necessary to protect people, systems, or rights.
Some providers may process data outside the Philippines. We select providers and use contractual and technical safeguards appropriate to the processing. We do not sell personal data.
How long we retain data
- General inquiries: up to two years after the inquiry is closed.
- Unsuccessful job applications: up to twelve months after the recruitment process ends.
- Account information: while the account is active and ordinarily up to thirty days after verified deletion, subject to backups and legal requirements.
- Security and operational logs: ordinarily up to ninety days.
Records may be retained longer when reasonably necessary for legal obligations, an active dispute, fraud prevention, or security investigation. Data is deleted, anonymized, or securely isolated when it is no longer required.
Cookies and external media
We use an essential authentication cookie to keep signed-in accounts secure and browser storage to remember limited interface preferences. These technologies are not used by us for advertising. Your rights
Subject to the Data Privacy Act of 2012 and applicable exceptions, you may request access to or correction of your data, object to certain processing, withdraw consent, request erasure or blocking, obtain data portability where applicable, and seek indemnification for damage. You may also lodge a complaint with the National Privacy Commission.
We may ask for reasonable proof of identity before completing a request and will respond within the period required by applicable law.
Security and changes to this notice
We use organizational, physical, and technical safeguards designed to protect personal data. No online system is entirely risk-free. We may update this notice when our practices or legal obligations change and will publish the revised date and any material notice required by law.
